This Privacy Policy explains how Pythn (“Pythn,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information when you visit our websites, use our products and services, communicate with us, or otherwise interact with Pythn. Plain-English summary: We only collect what we need to deliver and improve our CRM, automation, Conversation AI, and Voice AI services. We don’t sell personal information. You control your data preferences and can contact us anytime.

If you access Pythn through a client account (e.g., your business has a Pythn workspace), your organisation may also act as a data controller and set its own data practices. In those cases, Pythn typically acts as a data processor on their behalf.

2) Information we collect

We collect the following categories of personal information:

Identity & contact data: name, email address, phone number, company, job title.

Account data: usernames, role/permissions, profile details, preferences.

Customer content & communications: messages (webchat, SMS, email, social DMs), call recordings/voicemails, attachments, form responses, appointment details.

Transactional & payment data: billing contact, plan details, invoices, payment confirmations (processed by third-party providers; we do not store full card numbers).

Usage & device data: IP address, device type, browser, operating system, pages viewed, buttons clicked, session duration, crash/diagnostic logs.

Tracking data: cookies, pixels, tags, and similar technologies for analytics, preferences, and advertising where permitted.

Third-party data: information from integrations you connect (calendars, email, ads platforms, helpdesks), lead sources, or publicly available sources.

Sensitive data: we do not intentionally collect special-category data (health, biometric, etc.). If your use case requires it, you are responsible for obtaining appropriate consent and lawful basis.

Children: services are not intended for children under 16. If we learn we have collected such data, we will delete it.

From your organisation: when your employer or business invites you to a Pythn account or uploads contact lists.

From integrations & partners: calendars, email providers, CRM imports, ad platforms, payment processors, telecom carriers.

4) How we use data

We use personal information to:

Provide and operate services (CRM, messaging, Conversation AI, Voice AI, automations, bookings).

Process and route communications (SMS, voice, email, chat, social) and store logs/recordings.

Configure and train AI features using your supplied content (we never train public models with your data without consent).

Improve and secure our services (QA, analytics, troubleshooting, abuse prevention).

Bill and collect payments, and send service/transactional notices.

Send marketing where permitted; you may opt out anytime.

Comply with law, respond to lawful requests, enforce our terms.

Legal bases (EEA/UK): consent, contract performance, legitimate interests (service improvement/security), and legal obligations.

5) Sharing & disclosure

We share information with:

Service providers / processors (AWS, Google Cloud, Twilio, telecom carriers, analytics, payment processors, AI providers such as OpenAI/Azure/Anthropic). They may only process data on our instructions.

Your connected integrations (calendars, CRM imports, ad platforms, email providers).

Your organisation or account owner if your account is managed under a business/agency.

Professional advisors, regulators, or authorities where legally required.

Business transferees in case of a merger, acquisition, or asset sale.

We do not sell personal data.

6) International data transfers

We may transfer and process data in Australia, India, and other regions. Transfers are safeguarded with encryption, Data Processing Agreements, and Standard Contractual Clauses (or equivalent). Details available on request.

7) Data retention

Retained only as long as needed for services, legal obligations, and dispute resolution.

Daily automated backups are securely stored and retained for up to 30 days.

On request, we delete data permanently from active systems and backups (within retention window).

Data encrypted at rest (AES-256) and in transit (TLS 1.2+).

Role-based access controls & multi-factor authentication.

Audit logs track activity.

Automated daily backups.

Incident response plan: contain → assess → notify clients (if required) → remediate.

No method is 100% secure, but we apply industry-standard safeguards.

12) Free trial (14 days)

We offer a 14-day free trial for new accounts. During this trial:

If you do not convert to a paid plan, your account may be suspended and data deleted after the retention period, unless required for legal or security purposes.

13) Third-party links & content

14) Roles & responsibilities

Controller: Pythn, for websites, marketing, billing, and account administration.

Processor: Pythn, when providing services to organisations/agencies using our platform.

A Data Processing Addendum (DPA) is available on request.

15) Changes to this policy

We may update this Policy as laws or services change. Updates will be published on www.pythn.com.au with a new effective date. For material changes, we will provide additional notice.
